Transitioning from Workflow Rules to Salesforce Flows
With Salesforce officially phasing out support for legacy Workflow Rules, Tenfold is proactively migrating its core automation logic to Salesforce Flows. This transition ensures your integration remains secure, performant, and aligned with Salesforce’s modern architectural standards.
Beginning with the 5.37.0 release, brands will have the opportunity to migrate their existing automation. You will encounter migration prompts within the Tenfold Dashboard in the following key areas:
- Agent Auto-Provisioning: Located on the Users page.
- Agent Status Tracking: Located on the Features page.
Managing the Migration in Salesforce
Salesforce currently provides a native "Migrate to Flow" tool within their Setup menu. If your organization chooses to use this built-in Salesforce mechanism to convert Tenfold-related workflow rules, please follow these critical steps to avoid duplicate actions or data conflicts:
- Run the Migration Tool: Use the Salesforce utility to convert the existing Workflow Rule into a Flow.
- Verify the New Flow: Ensure the newly created Flow is active and mirrors the intended logic.
- Switch Activations: Once the Flow is live, you must immediately deactivate the original Workflow Rule.
Important Note: To prevent redundant processing or "double-firing" of tasks, ensure only one automation method (either the legacy Workflow Rule or the new Flow) is active at any given time.

The following sections illustrate the prompts you will see within the Tenfold Dashboard and the corresponding settings in Salesforce.
Flow Migration & Configuration
As Salesforce transitions away from legacy Workflow Rules, Tenfold has introduced automated tools to streamline your migration to Salesforce Flows. Starting with the 5.37.0 release, brands can migrate their existing logic directly through the Tenfold Dashboard, ensuring a seamless transition for critical features like Agent Auto-Provisioning and Agent Status.
Automated Migration via Tenfold
For brands that have not yet migrated, the Tenfold Dashboard will display warning banners on the Agent Auto-Provisioning (Users page) and Agent Status (Features page) screens.
1. Agent Auto-Provisioning
To migrate your user provisioning logic:
- Click the Refresh Webhook button.
- Action: This automatically deactivates the legacy Workflow Rule and generates a new Salesforce Flow.
- Result: The Flow utilizes the existing Outbound Message to call the Tenfold API, ensuring your CRM user list stays synchronized with Tenfold (Add/Update/Remove).
2. Agent Status (Omni-Channel Integration)
When using Salesforce as the integration source for Agent Status, the migration process is integrated into your existing setup:
- In the Agent Status feature section, the "Refresh" buttons for Agent Work and Agent Status webhooks will now trigger a Flow migration.
- New UI Feedback: Upon clicking refresh, a new status modal will appear to provide real-time updates on the migration progress.
Enhanced Diagnostic Warnings
With the introduction of Flow migration, Tenfold has expanded its internal error checking to proactively monitor your integration health. The Tenfold Dashboard will now display warnings if it detects configuration issues:
- Flow Status Warnings: If a Salesforce Flow is inactive or has not yet been migrated from a legacy rule, an error warning will appear on the Agent Auto-Provision or Agent Status pages.
- Authentication Validation: For Agent Auto-Provisioning, Tenfold now checks the URL Hash Signature. If there is a mismatch or incompatibility with the Salesforce URL, a warning will notify you.
- Proactive Monitoring: These warnings are designed so you don't have to "guess" if the webhook is working. You only need to use the Refresh button if Tenfold explicitly displays a warning or prompt.
Note on Migration Direction
- One-Way Forward: Migrating to Flows is a one-way process within the Tenfold UI. The Refresh buttons are now programmed exclusively to create Flows and modern Outbound Messages.
- Legacy Support: If your organization must continue using legacy Salesforce Workflow Rules for specific features, do not use the Tenfold refresh buttons. Instead, manual adjustments should be made within the Salesforce Setup UI.
